Our Clinic Policies
Last Updated: January 2, 2026

Cancellation Policy:
Your appointment time is reserved just for you. If you are unable to hold your scheduled appointment we ask that you provide us with 24 hours notice so we may contact patients on our wait lists.  Last minute cancellations and No-Shows have a very real cost to your Therapist. If a minimum of 6 hours notice is not received to reschedule or cancel your appointment you will be charged the full treatment cost. Credit Cards stored on file will be used to process the no-show treatment cost and we will email the receipt.  Late arrival for an appointment will also be charged the full treatment cost.

Sickness Policy:
If you are sick, have a fever or cough, or have been in contact with someone that is sick please reschedule your appointment.

If you arrive to Healthy Roots with cough or cold symptoms we reserve the right to cancel your treatment.

SGI & WCB Claims:
At this time, due to high treatment volumes and practitioner caseloads, we have very limited availability for NEW PATIENT SGI or WCB claims.

In some cases, existing patients may be transitioned to SGI or WCB coverage at the discretion of their Registered Massage Therapist, depending on availability and approval requirements. This cannot be guaranteed and is assessed on an individual basis.

Practitioner-Specific Availability

  • Registered Massage Therapy (RMT):
Some RMTs may attempt to accommodate existing patients only for SGI or WCB claims, subject to availability and treatment approval.
  • Dr. Kara Haus (Chiropractor):
Dr. Kara Haus does NOT accept SGI claims.
She does continue to accept WCB claims.
  • Dr. Dan Hoffman (Acupuncture / Traditional Chinese Medicine):
Dr. Dan Hoffman does NOT accept SGI or WCB.

Important Notes

All SGI and WCB treatments require approved claim information prior to booking.

Claim-related treatments must be provided by one practitioner exclusively, as per claim guidelines.

Availability and acceptance are subject to change based on practitioner capacity.

We appreciate your understanding as we work to manage practitioner caseloads while continuing to provide high-quality care to our community.

Natural Scent Environment:
We are NOT SCENT FREE, however, we strive to provide a natural scent environment for our clients.  We do not use perfumes or artificial/chemical scents. Some scents you may notice in our office are:

  • Essential Oils – 100% natural and high grade essentials oils may be diffused in office, or found in our natural cleaning products
  • Moxibustion – Smoke produced by burning all natural herbs (ex:. Moxa or Mugwort). Moxibustion is a part of Traditional Chinese Medicine.
  • All Natural Cleaning products – As part of being an Eco-conscious clinic, we try to use all natural &/or naturally scented cleaning products, laundry soaps, where we can.  However, treatment tables, office surfaces, and front desks, are cleaned with hospital grade disinfectants.
We are dedicated to providing a healthy environment for our patients. Please refrain from wearing scented products or smoking prior to arriving for your treatment.

Receipt Policy:
In maintaining a high standard of professionalism, receipts are only issued in the name of the person receiving the treatment and cannot be post or back dated.
